Guest Management Update

📢 Logistics & Communication

Given the strict capacity of 24 pax in the suite, I think it would be best to maximize your guest invitations and not include me as an onsite attendee (unless you feel it's absolutely necessary).

Instead, I’ll act as your dedicated virtual event concierge for the entire day. I'll be fully available via phone and WhatsApp to handle absolutely everything behind the scenes. Essentially, I'll ensure your guests' experience is flawless, and you can focus on being present and engaging with them personally, knowing I've got everything else covered.

To ensure a smooth and memorable event experience, please find the clearly defined roles below:

Onsite Event Host (Marijke?):

  • Act as the primary point of contact onsite

  • Welcome guests upon arrival

  • Oversee onsite hospitality, ensuring guests' comfort

  • Handle immediate, in-person guest interactions or requests

  • Communicate directly with Jay for any urgent issues or questions that arise

Virtual Event Concierge (Jay):

  • Available all day via phone/WhatsApp for instant support

  • Guest support (directions, access, parking, last-minute questions)

  • Troubleshooting any issues with the venue, vendors, or suite services

  • Coordinating any emergency logistics or dietary escalations

  • Managing communications between service providers and Vukile

  • Being available for any guest-related needs relayed by Marijke or the Vukile team

  • Coordinate any additional vendor logistics or emergency responses

This ensures Vukile's team is fully supported while guests receive a seamless, high-touch experience.

📷 Content Capture Plan

Due to guest capacity restrictions in the hospitality suites, a traditional event photographer will not be onsite.

Additionally, access to the suite is strictly limited to ticket holders only—no pre-event access or temporary entry for external media will be permitted.

With that in mind, I’ve adapted the content strategy to focus on creative, low-footprint methods to still capture meaningful moments.

🤳 1. Designated "Guestographer"

Who: A Vukile team member 
Tools: Smartphone with high-quality camera (clip-on lens/light if needed)


Shot List Includes:

  • Guest arrivals & mingling

  • Rugby match atmosphere

  • Toasts or key moments

  • Candid smiles & group photos

VwJ will provide a simple shot list and guidance to help ensure high-quality content is captured in the moment, without disrupting the experience.

📷 2. Disposable Glam (Optional Add-on)

Idea: Place one or two Polaroid cameras in the suite with a note:


“Take a moment. Snap a memory. Leave one behind.”


These can be collected post-event and scanned into a digital keepsake or collage.
